Meeting Minutes – November 08, 2012
Central memorial Recreation Centre
Attendees: Brian Goodman, Elisabeth Brown, Maggie Day-Myron, Duncan Day-Myron, Brenda Million, Fariema Syed, Pete Harding, Mike Montreuil, Lucio Barcaroli, Katherine Dymkowski, Ralph Meires, Matt Hall, Linda Quest, Christina Babcock, Ben Babcock, Devon Mordell, Brenda Mitchell, Abe and Ann V, Lee Edward McIlmoyle, Diane Abrash, Diane Drew, Greg Reader Brian Goodman chaired this meeting.
Welcome to everyone and a special thank you to Paul Casey and Joanna Millions for their efforts and commitment during the past year.
Review of the Agenda. No new items were added.
Introductions were made of the new Board:
Brian Goodman – President
Elisabeth Brown – Vice President
Katherine Dymkowski – Treasurer
Natasha Murphy – Secretary
Lucio Barcaroli was introduced as the Chair of the SCIP Committee. Secretary – Minutes of the October 11/12, Meeting were reviewed. – Amendments required for incorrect spelling. Christina Babcock’s name to be added as attending.
Treasurer – Katherine reported that all membership fees and donations received from the Movie
Night had been deposited.
There was a break to allow for review of the amendments being brought forward. For review are the SCA Reference Booklet, changes to the Constitution and a new Code of Conduct. The above require to be accepted by a two-thirds vote to be passed. These changes to the Constitution were passed after a members vote.
In the subsection Meetings:
3.1.2. The official year for the community council will be January 1 to December 31 or
until an executive successor is elected. The first meeting of the year should be in
January. (passed)
3.1.3. You must have been an active member in good standing for at least one year to stand for an executive position. It was discussed and passed that “active” means “having attended a minimum of 50% of the scheduled association meetings during that year.”
Remainder of Meeting’s subsection renumbered to be accurate.
In the Subsection Directors Duties:
6.1. the word component was changed to committee
6.6. Committees through it’s directors will coordinate with the assistance of the vice
president of the Association before contacting the City of Hamilton Staff and related
organizations for assistance “or” direction
6.7 Within the confines of its purpose a committee may organize its own activities
However, approval of the Association is required to organize activities in the name of the Association.
A new Code of Conduct was passed by all present and will be available in the new SCA
Reference Handbook as well as on the Association’s website.
Only one amendment to be made and that is under topic category
Media Relations the words in context..” spokespersons can make statements or
comments…” will read ..”spokespersons can speak on behalf of the SCA.”
S.W.O.T. questionnaire had been sent out by email, to members asking them to identify the Strengths, Weaknesses, Opportunities and Threats within Stinson. This information will be use to assist with future planning and tracking outcomes of actions. During November we will be cross-referencing these categories with the SCIP actions.
The SCA Board is currently tabulating the number of housing units versus the number of mailboxes, logging graffiti sites, and trying to obtain names of building owner/operators of multi unit complexes for a contact reference.A discussion surrounding the collection of data, and privacy of residents followed. It is assured
that a visual inspection to assist with a mailbox count for future flyer distribution is all that is needed.
Also, personal information such as addresses, email addresses, and any other contact
information is maintained as confidential by the SCA Board.
Recreation Centre – A questionnaire is in circulation to gather information regarding current usage and ideas for increasing use of Central Memorial Recreation Centre. The information gathered will be used in discussion with the Recreation Center to explore opportunities.
SCA Memberships – It was clarified that memberships are available for 12.00 – one year and 18.00 – two years. Membership is required to vote. Membership is required to stand on the Executive. Membership is required to lead a committee/sub-committee, or lead a Volunteer Pool.
Logo / Branding – In going forward with SCIP, an important element is to determine a Logo to be used to brand the Stinson Neighbourhood within Hamilton. Several examples were solicited and previewed at the meeting. The official call for submissions will be put forward.
Next Meeting: It was voted and passed that the next SCA meeting is to be held Thursday December 6, 2012, at 7:00 pm at the Central Memorial Recreation Centre.
